Article: Curing Information Overload Syndrome

If technology is supposed to help me do my job more effectively, then why do I feel more like a servant to my computer?

This question is common throughout all industries today. Chances are your computer is helping you more than you actually realize. Remember, we're in the midst of an information revolution. Ways of storing and retrieving information are changing faster than ever. Try the following to make your computer more friendly and less bossy.

EXPAND YOUR OVERALL COMPUTER PROFICIENCY:
If you are using your computer only as a word processor, you're really missing a lot of the real ways it can be of benefit. Databases, spreadsheets and graphic design are just a few of the ways your system can help. Getting a little better is easy: just locate a training course, and present the benefits to your manager when asking for the time and tuition.
SCHEDULE TIME FOR E-MAIL:
When you get an e-mail message, do you read and respond immediately? If you said yes, that's the wrong answer. Studies have revealed that for every minute you are away from a specific task, your recapture time can be from one to three minutes. Recapture time is critical for effective performance. Consequently, take the time — two or three times a day — to check your messages and respond.
PRIORITIZE YOUR E-MAIL:
Subconsciously, we all do this, however we need to make a more concentrated effort on a daily basis. I suggest that everyone in your office take time to learn the 1-2-3 system for prioritizing. This system is where, before sending a message, you assess the message as to its importance level, and enter a code on the subject line. This way, before you take the time to read all of the messages, you can assign your level of importance to each one.
TURN OFF THE MACHINES ONCE IN A WHILE:
Are you computerized at home as well as in the office? A large majority of us are. The lines between work and home are getting blurred beyond recognition as we constantly check e-mail and voice mail from home. Set aside some time for relaxation and turn off the machines on the desk, as well as those in the mind. Your family will appreciate your return to humanity.
BECOME A LIFELONG LEARNER:
A willingness to learn is one of the best ways to exercise your brain and to show your ability to stay current. Find something interesting about the information revolution and enjoy learning about it. You'll need to master technology's tools to keep up in today's world.

By following these simple rules you can open the lines of communication between coworkers, management and family life. This allows for you to "Work Wiser, Not Necessarily Faster."
